A mid-sized remediation building company was growing but couldn't work out why the wheels kept falling off. Directors were involved in everything, invoices were getting rejected, and tenders were running late.
We ran six workshops over three weeks with 16 people across estimating, project management, finance, and leadership. The workshops uncovered that directors were approving every invoice and reviewing every tender because the structure didn't give anyone else the authority. There was no coordination layer between directors and teams.
Estimators each used their own templates with no standard handover to project delivery. Critical business information lived in personal spreadsheets. The hidden cost was $780,000 to $1,000,000 per year in direct labour alone.
The outcome
A phased improvement roadmap — adding a coordination layer, creating a contract administrator role, introducing tiered approvals, and standardising handovers — would recover approximately $414,000 per year before any technology investment.
A large aged care provider with around 300 sites needed a monthly safety self-assessment at every site to support a self-insurance licence application. The entire process was manual — checklists went out by email and spreadsheet, the health and safety team chased responses by hand, and there was no central visibility.
Our diagnostic work found that the health and safety team was doing work that belonged to operational managers. Health, Safety and Wellbeing advisors were spending roughly 64 hours per site manually assembling audit evidence that should have been generated as a byproduct of doing the work.
Safety records and compliance knowledge sat with single individuals. If that person left, the capability went with them.
The outcome
We used the findings to scope requirements for a digital platform — built against the redesigned process, not a feature list — so the eventual build would solve the structural problem rather than just digitise the manual one.
